How do you connect AI to all your company data and systems?
There are three ways to connect AI to company data. Learn which one scales, which one locks you into a vendor, and how to keep it model-agnostic.
You connect AI to your company data by linking your systems into one foundation that any AI model can read from. Per-tool integrations work for a single use case, but they do not scale and they tie you to one vendor. A connected foundation works with any model and stays yours.
Three ways to connect AI to company data
There are roughly three ways, and they differ mainly in what happens when you grow or switch models.
1. Copy and paste
You paste a document or email thread into ChatGPT or Claude and ask your question. This works for one question, but not for a team. The answer is only as good as what you happened to paste, and nobody else can build on it.
2. Integrations per AI tool
Most AI tools offer integrations with, for example, Google Drive, SharePoint, or a CRM. That is a step forward. The limit: every tool has its own integrations, its own index, and its own rules. Switch models and you start over. And knowledge still lives in separate systems, each giving a different version of the truth.
3. One connected foundation
You connect your existing systems into one layer on top: a closed-loop foundation. Any AI model reads from it, through chat or called from the tools your team already works in. Open standards such as the Model Context Protocol (MCP) let different models address the same source. The foundation becomes a single source of truth that is independent of the model you use.
| Copy and paste | Integration per tool | Connected foundation | |
|---|---|---|---|
| Works for a team | No | Partly | Yes |
| Switching models | Paste again | Set up again | Keeps working |
| One version of the truth | No | No | Yes |
| Source with every answer | No | Sometimes | Yes, with approval |
| Ownership | Yours, but scattered | The vendor's | Yours |
What do you need to connect your systems?
You need access to the systems where knowledge is created, and agreements on what goes into the foundation. Concretely:
- An overview of your sources. CRM, email, documents, ATS or accounting, call notes.
- Connections through APIs or connectors. So the foundation reads from the source, not from copies.
- Permissions and privacy. Who can see what, with data staying in your own environment.
- An approval step. Who signs off on an answer before it counts as the truth.
Can I do this myself, or have it built?
Technical teams can set up part of it themselves. Most service firms do not have that capacity in-house, and do not want to pull their people away from client work. With Cloop, Best Byte builds the foundation for you, in weeks, in your own environment. You own it and run it afterwards. Why the model matters less than the foundation is covered in the best AI for company knowledge.
Frequently asked questions
How do I connect ChatGPT to our company knowledge base?
For a single use case, through ChatGPT's built-in connectors. For a whole team, and to avoid vendor lock-in, through a connected foundation that ChatGPT and other models read from.
How do I connect Claude to my company data?
The same way: individual connectors for a single use case, or a model-agnostic foundation that Claude can reach through open standards such as MCP.
Does our data stay private when we connect AI?
Yes, if the foundation lives in your own environment. Your data is then not shared and not used to train a model.
